Introduction
Hanois Insurance Brokers Limited (also referred to as ‘HIB’ ‘we’ or ‘us’) are committed to protecting your
personal data when you use our services. This Privacy Statement relates to our use of any personal data we
hold and outlines the types of data we collect and how we may use it.
In order to provide you with the products and services you require and the most suitable solutions, we are
required to collect personal data about you. HIB is committed to safeguarding that personal data.
Whenever you provide us with such data, we are obliged to use your data for a lawful purpose and the
processing must be fair and transparent, in line with the General Data Protection Regulation (GDPR). All data
will be processed in accordance with these regulations.
What data will we collect about you?
The personal data we hold will usually be provided by you. Examples of the information we may collect may
be your name, date of birth and address amongst other information, depending on the services you require.
By providing us with those details, you enable HIB to provide you with the products and services you have
requested.
For the provision of certain services we may be required to collect what is deemed Special Category data
(e.g. medical histories or details of criminal convictions). This data will only be collected and processed when
necessary, in order for us to provide the required products or services to you. The data will only be held or
processed with your explicit consent (which can be withdrawn at any time) or where there is a legal basis to
do so.
We may also need to process data in relation to your family, dependents or employees depending on the
nature of your enquiry. We would ask that you make those persons aware of this use of their data and bring
our Privacy Notice to their attention.
If you visit our website, HIB may also hold data relating to your computer or digital devices such as IP
addresses or Cookies (please refer to our ‘Cookies Policy’ for further information).
Telephone calls, including mobile communications, may also be recorded for training and monitoring
purposes.
How will we use the data collected?
For the provision of information, advice and in the placement of insurance, HIB will handle your personal
data under contract and we do not rely on consent.
We may contact you relating to a submission you have made to our website including any contact you provide
or to personlise the way which we present content to you. If we propose to use your personal data for
marketing purposes or analytics, we will seek your consent and this consent may be withdrawn by you at any
time.
HIB will only process your data for the purpose which it is collected, for the provision of insurance services
and the performance of our contract with you, other than where there is a legal obligation upon us or where
necessary for the purpose of our legitimate interests or those of a third party, in line with GDPR legislation.
When will HIB contact me?
- In relation to any product or service you have enquired about or have requested that we provide to you
- To provide you with information on or amendments to products or services that we have provided to you
- Where you have opted to receive further correspondence from us, we may contact you to provide marketing content or other communications. You may withdraw your consent to receive marketing material and other information from us at any time.
Will HIB share my personal data with anyone else?
As part of the arranging a contract of insurance and the performance of that contract, it will be necessary for
HIB to provide your information to third parties (such as insurers, underwriters, loss adjusters etc.) in order
to obtain terms and ultimately, to bind cover or process a claim. Once cover is bound, information will pass
between that third party and HIB to enable the ongoing administration of the contract.
Where you enter a contract of insurance with insurers, they will be required to process your data and should
also be considered a data controller. This processing will fall outside of the control of HIB and you should
consult the third parties privacy policy for further details. The third parties we deal with will usually be bound
by the same or equivalent data protection regulations as HIB.
Otherwise, we will keep your data confidential except where disclosure is required or permitted by law (for
example to government bodies and law enforcement agencies).
HIB does not sell or otherwise transfer any personal data to commercial companies or other organisations.
How long will HIB keep my personal data?
We will only hold your personal data on our systems for as long as is necessary to provide the relevant
services to you or to satisfy any reporting, tax, accounting or legal/regulatory obligations.
Can I find out what personal data HIB holds about me?
Yes, under GDPR regulations you have the right to obtain:
- confirmation that your data is being processed
- the reason for the processing
- access to that data
- other supplementary information
A single copy of the data will be provided to you free of charge upon request.
HIB will require you to verify your identity by requesting, as a minimum, photographic ID and a utility bill
prior to the release of any data to you.
If you find that any of the data held is incorrect or not being used correctly, you can ask that your information
is corrected, not used or deleted. You can withdraw your consent for us to use your data at any time and we
will stop using that data as soon as possible, following receipt of your request.
Changes to HIB Privacy Policy
This privacy policy may be updated from time to time so you may wish to check it each time you submit
personal data to HIB.
